Key Responsibilities:
- Greet visitors, patients, and clients with professionalism and warmth, creating a welcoming environment.
- Manage front desk activities, including answering phone calls, responding to emails, and handling inquiries promptly and professionally.
- Schedule and confirm appointments, manage appointment calendars, and coordinate follow-ups with clients or patients.
- Maintain accurate records of patient or client information using office software systems.
- Call and send reminders to clients or patients regarding appointments, ensuring smooth scheduling flow.
- Process payments and issue receipts, maintaining accuracy in financial transactions.
- Assist with administrative tasks such as filing, data entry, and maintaining office supplies inventory.
- Monitor the waiting area, ensuring cleanliness, organization, and client comfort.
- Support the marketing team by managing social media pages, creating basic updates, and responding to queries where necessary.
- Collaborate with internal teams to coordinate tasks and share updates when required.
- Address and resolve client or patient concerns, escalating issues to management if necessary.
- Ensure compliance with office policies and maintain confidentiality of sensitive client information.
- Assist in preparing reports, correspondence, and documentation as needed.
Qualifications and Requirements:
- Minimum of 2-3 years of experience as a receptionist, front desk associate, or in a similar administrative role.
- High school diploma or equivalent; bachelorβs degree in business administration or a related field is preferred.
- Strong communication skills in both Arabic and English, both verbal and written.
- Proficiency in using Microsoft Office tools (Word, Excel, Outlook) and office management software.
- Experience using scheduling and CRM systems is an advantage.
- Knowledge of social media platforms and basic marketing practices is a plus.
- Professional appearance, positive attitude, and exceptional customer service skills.
- Ability to multitask, prioritize responsibilities, and work under pressure in a fast-paced environment.
- Strong organizational and problem-solving skills with attention to detail.
