Key Responsibilities:
- Plan, organize, and execute events, conferences, and meetings based on client requirements.
- Handle administrative tasks such as booking venues, meeting rooms, and office spaces for events.
- Manage event logistics, including catering, entertainment, and promotional material distribution (brochures, leaflets, etc.).
- Coordinate with vendors, suppliers, and internal teams to ensure seamless event execution.
- Generate client invoices for event-related services, including project-based or retainer agreements.
- Maintain a detailed staff schedule and diary of events to ensure effective planning and resource allocation.
- Monitor and manage event budgets to meet financial objectives.
- Ensure the availability and proper functioning of event-related technical equipment, including AV systems and network connectivity.
- Provide on-site supervision during events to address client needs and resolve any issues promptly.
- Collect post-event feedback to improve future event planning and execution.
Qualifications and Requirements:
- Proven experience as an Event Coordinator or in a similar role, preferably in Qatar.
- Excellent organizational, time-management, and multitasking skills.
- Strong communication and interpersonal skills to liaise effectively with clients and vendors.
- Proficiency in event management software and basic knowledge of accounting tools for invoicing.
- Familiarity with computer networking, firewalls, email, and internet usage is a plus.
- Ability to work under pressure and manage multiple events simultaneously.
- Bachelorβs degree in Event Management, Business Administration, or a related field is preferred.
