The Role:

The role is to support the operations in the Doha office, Qatar, in conjunction with the head office in Southampton in keeping the team organized and making sure training and client meetings run flawlessly to ensure we exceed customer expectations in a professional manner.

Key Responsibilities:

  • Training Logistics: Book training rooms / venues and catering; prepare attendance sheets, name cards, certificates, print training material, arrange audio visual; coordinate with instructors and venue, follow up on feedback from attendees.
  • Client Liaison and Scheduling: Schedule meetings, issue invites / links, confirm attendance, capture actions and keep the team abreast of deadlines via a shared calendar.
  • Tenders and Document Control:   Format and compile tender submissions, maintain version control, arrange / deliver tender documents.
  • Records and Compliance:  Maintain the following:
    • Company registration with QFC
    • Contact databases
    • Training registers
    • Confidential files

Ensuring data accuracy and privacy.

  • General Admin: Meeting room preparation, minutes of meetings, basic invoicing support, follow up with suppliers, out of office tasks to Post office, bank, government and ministry buildings and courier counters.

Qualifications / Requirements:

  • Experience: 2+ years in office administration, training coordination, or executive assistance preferably in Qatar or GCC but not essential.
  • Computer literate: Strong Microsoft Office suite of programmes, word, excel and PowerPoint as a minimum. Document formatting and basic spreadsheets.
  • Organisation and communication: Excellent written and spoken English, Arabic and other languages are an advantage. Concise e-mails, confident phone manner and proven experience of managing busy diaries and meeting deadlines.
  • Confidence:  Must be confident in navigating Doha, speaking with vendors, couriers and public and government services personnel.
  • Professionalism: Discrete with client information, reliable and punctual.
  • Work authorization: Existing Qatar work authorisation / Qatar Identification Card or eligibility to obtain sponsorship.
  • Nice to Have: Qatar Driving Licence

Working hours and conditions:

  • Standard: 7.25 hours per day, 0800 – 1600 with a 45 minute unpaid lunch break, Sunday to Thursday (Reduced hours per week during Ramadan as per the law), Occasionally early starts and late finishes for training or tender submissions

Compensation and Benefits:

  • Competitive salary: Paid in Qatari Riyals, plus allowances and benefits aligned with Qatar Law and internal policies.
